Privacy Policy

This policy explains how Level Group Ltd uses personal data when you buy a membership or a coaching subscription at members.dan-ford.com, and what your rights are.

1. Who we are

Level Group Ltd is the data controller. We are registered in England and Wales under company number 05538601, with our registered office at 3 Warwick House, Wells Road, Malvern, England, WR14 4RP.

2. What we collect and why

Your email address. It is how we identify you. Your access to Fathom and Career Designer is tied to it, and we use it to send you emails about your purchase.

Your purchase and access records. What you bought, when your access starts and ends, and whether it is active, cancelled or ended. We need these to give you access and to handle cancellations and refunds.

Your consent at checkout. The wording you agreed to, which version of our terms applied, and when you agreed. We keep this as a record of what you agreed to.

Payment details. You pay through Stripe, which holds your payment details. We keep only a reference to each payment and refund, not the personal or card details Stripe sends us.

Coaching bookings. If you buy a coaching subscription, we set up an account for you on dan-ford.com with your email address, so that you can book sessions. We keep the account and order references that dan-ford.com gives us.

Emails we send you. A record of each email: what kind it was, when it was sent and whether it went out. In this record your email address is stored only in scrambled form.

Access checks. When Fathom or Career Designer checks whether you have access, we record the check with your email address in scrambled form, so that we can protect the service from misuse.

We collect nothing else, and we do not use your data for marketing.

3. Our lawful basis

Contract. Giving you access, taking payment, setting up your coaching account, sending you emails about your purchase, and handling cancellations and refunds. We need your data to do what you have asked us to do.
Legal obligation. Keeping records of payments and refunds for tax and accounting.
Legitimate interests. Keeping a record of the consent you gave at checkout, so that we can show what you agreed to. Recording access checks, to protect the service from misuse. Alerting our team by email when a coaching booking account cannot be set up, so that we can set it up for you by hand.

These providers help us run the service. Each acts on our instructions:

Stripe takes your payment and holds your payment details. It receives what you enter at checkout.
Supabase hosts our database.
Netlify hosts this website and runs the code that handles your purchase. It receives the technical details of each request, such as your IP address.
Resend delivers our emails. It receives your email address and the content of each email we send you.
Wix runs dan-ford.com. For coaching purchases only, it receives your email address and your coaching plan, so that you can book sessions.

Coaching sessions are delivered by Dan Ford of Dan Ford Coaching Ltd on our behalf. For coaching purchases, your dan-ford.com account and bookings are available to it so that it can deliver your sessions.

Fathom and Career Designer are our own platforms. When you sign in, they ask us whether your email address has access, and we tell them what you have bought.

We do not sell your data.

5. Where your data is held

Our database is hosted in London. Stripe, Netlify, Resend and Wix also process data in the United States. Where your data leaves the UK, it is protected by the safeguards in each provider's data processing terms.

6. How long we keep it

We have not yet set fixed retention periods. Until we do, we keep your records for as long as we run the service. If you ask us to delete your data, we will, except for records the law requires us to keep, such as payment records for tax. We will update this policy when we set fixed periods.

Stripe, Wix and Resend also keep records under their own policies.

7. Your rights

Under UK data protection law you have the right to:

get a copy of your data (access)
have it corrected (rectification)
have it deleted (erasure)
limit how we use it (restriction)
receive it in a form you can take elsewhere (portability)
object to how we use it where we rely on legitimate interests (objection)

Some rights depend on the reason we hold the data. For example, we may need to keep payment records even if you ask us to delete them.

To use any of these rights, email info@dan-ford.com. We may ask you to confirm who you are. We will reply within one month.

8. Complaints

If you are unhappy with how we handle your data, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator, at https://ico.org.uk/make-a-complaint or on 0303 123 1113.

9. Cookies

This website does not use cookies or analytics. When you pay, you use a checkout page run by Stripe, which uses its own cookies to process your payment securely. Stripe's privacy policy is at https://stripe.com/privacy

10. Changes to this policy

We may update this policy. When we do, we will change the date at the top. If a change affects how we use data you have already given us, we will email you before it takes effect.
